What an IP PBX does

An IP PBX is the office phone system: it connects extensions to each other and to outside lines, and handles features such as call transfer, ring groups, voicemail, auto-attendant menus (IVR) and call recording. IP phones connect to it over the data network instead of separate telephone wiring.

On-site IP PBX or cloud phone system

An on-site IP PBX keeps call control inside the building and suits offices that want local control or already run on-site servers. A cloud phone system moves the PBX off site and reduces hardware. Both use the same kinds of IP phones; the choice depends on the number of sites, users and your IT policy.

Size it from users and simultaneous calls

Count the extensions you need today plus growth, and how many calls happen at the same time. Simultaneous calls decide the number of trunk channels and the PBX model; extension count decides licences and phones.

Choose phones by role

• Basic desk phones for general staff
• Colour-screen phones with more line keys for reception and managers
• Conference phones for meeting rooms
• Wireless (DECT) handsets for warehouses, villas and staff who move around

Get the network ready for voice

IP phones are usually powered by PoE switches, so check port count and PoE budget. Put voice on its own VLAN with quality-of-service settings so calls stay clear when the network is busy, and keep the PBX on a UPS so phones work through short power cuts.

Questions to ask before buying

• How will outside lines connect — SIP trunk, existing lines or both?
• Do you need call recording, IVR menus or call reports?
• Should mobile staff use a softphone app on their phones?
• Who configures extensions and trains staff at handover?
